Paychecks & Contracts

Faculty are paid monthly, on the last working day of each month with the only exception being December. Paychecks and contracts generate the contract once the following is received: 1) vitae, 2) I-9 form, and 3) an official transcript.
The official transcript need not be included to begin this process, but it must be provided as soon as possible. The I-9 form proves citizenship and/or legal residence. You are required to show “acceptable” forms of ID, which are indicated on the I-9 form. At that time you also will be given an employee information sheet and a W-4 form. The W-4 indicates the number of exemptions claimed. Employees have the option of choosing direct deposit. Please contact the payroll office, located in Hovey Hall, room 101, for details regarding the participating banks. The other option is to have the payroll check delivered to Student Accounts, where you will have to pick it up.
All paperwork will be filled out with Roberta Moore, 309-438-7320. When all paper work is complete the contract is prepared and mailed by Academic Personnel. Copies are sent to the part-time instructor as well as the School of Social Work. Part-time instructors must sign the Provosts copy and return it.

Parking Services of Illinois State University regulates and enforces University parking policies. Please call parking services for information and instruction on how to obtain a parking permit. Permits are not required on weekends beginning at 7:00 PM on Friday until 4:00 a.m. Monday in the posted red and green lots, not including any reserved spaces. Faculty/staff permits are valid in RED reserved spaces from 5:00 PM to 4:00 AM every day.

Once you have completed the paperwork for your employment, you are eligible to receive an ID (Redbird) card, which provides you with library privileges among other resources on campus. Please contact them for more information.
Email
Once employment related paper work has been processed, e-mail accounts can be activated at http://secure.ilstu.edu/ulid/activate. If you have trouble activating your account, please call the University Computer Help Desk (309-438-HELP).
Office Space and Keys
All part-time instructors are allocated shared office space in Rachel Cooper Building, Room 309. You will need to pick that key up as soon as possible after the start of the semester. You also will have the option of picking up a key for the kitchen/mailboxes and the copy room so that you may use those areas after regular business hours. You must return all keys at the end of the semester.
Computer and Telephone
A computer and telephone is available for shared use of Part-time Instructors in Rachel Cooper Building Room 309. Local calls require you to dial “9” and then the number you are calling. All academic-related long distance calls require an access code, which is available from the School Office manager.
Mailboxes
Each full- and part-time faculty member is provided a mailbox, which is located in the lunch room, Rachel Cooper Building, Room 312A. You can directly deposit mail into the mailbox of any faculty member. An outgoing mail basket is provided for on and off campus mail. The School pays postage for academic related mail. RC312A is open only during regular office hours (M-F 8:00-4:30).
Benefits Usage Forms
All faculty members must complete benefits usage forms at the end of each month. At the end of each month, please fill out and place your benefits usage forms in the benefit usage box located above your mailbox.
Our support staff members are available to assist you with photocopy requests related to your course. Simply deposit your Xerox request in the work order bin located above your mailbox. Complete the request/instruction form and allow at a minimum of two working days for your request to be completed. All photocopying requires a personal identification number (PIN), which is available from the Office manager.
Test Scoring Service (i.e., OPSCAN)
OPSCAN offers a variety of test scoring and test analysis services. Instructors who use multiple-choice or true/false tests may wish to have their tests electronically scored. Under normal circumstances, the service is provided with a 2-hour turn-around time for test results. Equipment Bookings
Equipment bookings are done through Classroom Support. TV’s, VCR’s, projectors, and other audiovisual equipment can be reserved by calling them directly at 438-7412. Equipment reservations should be made at least 24 hours prior to the class but more lead-time is suggested. You may need to pick up your own media equipment so be sure to check that at the time you reserve it. If you are reserving equipment for an evening class, it will be placed and locked in your classroom by Classroom Support. If you have any questions, problems or special needs, call them at 438-7412.
The School of Social Work has laptops, LCD projectors and voice recorders available. To reserve any of the School’s equipment, please contact the support staff.
Special requests for rooms (e.g., “smart” classrooms or small conference rooms) must be made in advance and cannot be assured. Contact the support staff for more information on reserving a special room.
Course Evaluations
All ISU instructors are required to have course evaluations at the end of the semester. The evaluation forms are provided to you by the School and will be put in your mailbox near the end of the semester. Instructions are included in the packet and may change, so be sure to read them each semester. You should not be present when evaluations are filled out. Have a student from the class administer and return the evaluations to the red box on the third floor, Rachel Cooper.
A copy of student feedback will be placed in your mailbox within two weeks after the semester ends.
